Power BI Care Management Analytics and Support at Home Reporting
Project Snapshot
An Australian aged care provider engaged AGER BI to strengthen its analytics and reporting capability across its Care Management operations, initially through a Microsoft Power BI solution using operational data held within Microsoft Dynamics 365 and Microsoft Dataverse.
Rather than creating disconnected dashboards, AGER BI developed a reusable Power BI semantic model that centralised data relationships, business rules, measures and benchmark calculations. The model was designed to support operational reporting while establishing a foundation for future self-service analytics.
The relationship subsequently expanded into a second Power BI engagement supporting Support at Home statement production, incorporating paginated reporting, Dynamics and CRM data integration, semantic model enhancements and ongoing production support.
Overview
The client needed to transform operational Care Management information held within its Microsoft Dynamics 365 environment into trusted insights for both client-level management and organisation-wide performance monitoring.
AGER BI designed an architecture centred around a reusable Power BI semantic model supporting Care Management and management reporting, together with a reusable Power BI report template, technical documentation and self-service reporting capability.
At the core of the solution is a governed semantic model integrating information from Microsoft Dynamics 365, Dataverse and supporting benchmark data. Business relationships, calculations and operational KPIs were centralised within the model, allowing multiple reporting requirements to operate from a consistent analytical foundation.
The model supports analysis across clients, care activities, service categories, service items, coordinators, budgets and benchmarks. AGER BI also established a reusable Power BI report template aligned with the client’s reporting requirements, enabling future reports to be developed consistently against the central semantic model.
The engagement subsequently expanded into Support at Home statement production, where AGER BI developed paginated reporting capabilities and enhanced the supporting semantic model and data connectivity.
The Challenge
The client needed to convert operational Care Management information captured within Dynamics 365 into reliable management information supporting both individual participant management and organisation-wide oversight.
The organisation needed to track Care Management activity across monthly and quarterly periods, compare actual activity against established benchmarks and identify potential under-utilisation or over-utilisation at client level. Management also required broader visibility across pooled Care Management activity, service categories, service items and coordinator performance.
The reporting environment needed to integrate with the client’s existing Dynamics 365 and Dataverse environment while supporting evolving aged care reporting requirements. Reporting logic also needed to remain consistent across different analytical use cases rather than being recreated independently within individual reports.
The client required technical documentation and a reporting architecture that could be understood, maintained and extended over time.
As requirements evolved, the organisation also needed a scalable approach for producing structured Support at Home statements using information drawn from multiple operational sources.
Solution Delivered
AGER BI implemented a Power BI analytics and reporting capability centred around reusable data modelling, governed reporting logic and integration with the client’s existing Microsoft environment.
The solution established a governed Power BI semantic model integrating Microsoft Dynamics 365 and Dataverse data, providing the foundation for both client-level Care Management analytics and organisation-level management reporting. AGER BI developed reusable DAX measures and centralised business calculations to support monthly and quarterly performance analysis, benchmark and variance reporting, service category and service item analysis, coordinator performance monitoring and pooled Care Management utilisation reporting.
A reusable Power BI report template was developed to provide consistency across reporting, while the underlying semantic model, relationships, measures and reporting logic were documented to support ongoing maintenance and self-service analytics.
The engagement subsequently expanded into Support at Home statement production. AGER BI developed paginated reporting capabilities, enhanced the semantic model, integrated additional Dynamics and CRM information, investigated data quality and duplication issues, configured scheduled semantic model refreshes and provided ongoing production reporting support.
Governed Power BI Semantic Model
AGER BI developed a central Power BI semantic model to provide the analytical foundation for the client’s Care Management reporting.
The model integrates information from multiple functional areas within Microsoft Dynamics 365 and Dataverse, including Care Management activity, clients, services, financial information, budgets and team members. Supporting benchmark information was incorporated so actual activity and budget utilisation could be assessed against established benchmarks.
The model uses structured fact and dimension entities covering operational activity, clients, financial transactions, budgets, benchmarks, service categories, service items, team members and care levels.
Relationships between these entities were deliberately modelled and documented to provide a consistent analytical structure for both existing reports and future Power BI development.
Instead of creating separate datasets for each reporting requirement, the architecture uses a common semantic model capable of supporting multiple reporting use cases.
Care Management Performance Analytics
Using the central semantic model, AGER BI delivered analytical capability supporting both client-level and organisation-level Care Management reporting.
The reporting provides visibility into accumulated Care Management activity over monthly and quarterly periods and allows actual activity to be assessed against defined benchmarks.
Users can analyse performance across individual clients, funding types, care levels, service categories, service items, care coordinators and reporting periods. Drill-through capability enables users to move from higher-level performance information into underlying client, service and activity detail.
At management level, the reporting provides broader visibility of how Care Management activity is being utilised across the participant population, supporting analysis of pooled Care Management resources and potential over-utilisation or under-utilisation.
Centralised Business Rules and Self-Service Reporting
AGER BI implemented reusable DAX measures within the semantic model rather than embedding calculations independently within individual Power BI reports.
The centralised calculations support client counts, Care Management activities, accumulated activity, monthly and quarterly benchmarks, activity duration, budget analysis, variance calculations and average activity analysis across categories and team members.
This approach provides consistent definitions wherever the measures are used and reduces the need to recreate business logic across individual reports.
AGER BI also developed a reusable Power BI report template connected to the central semantic model. This created a foundation for self-service reporting, allowing future reports to reuse a governed model and centrally maintained calculations rather than rebuilding reporting logic from the beginning.
Technical documentation was produced covering the model, relationships, business rules and DAX logic to support ongoing reference and maintenance.
Microsoft Environment, Governance, and Handover
AGER BI designed the solution around the client’s existing Microsoft technology estate, including Dynamics 365, Dataverse and Power BI.
By using a central semantic model, reusable measures and documented reporting logic, the architecture established a more governed approach to Power BI development.
This reduced the need for business rules to be recreated independently within different reports and provided a common analytical foundation that could be reused as reporting requirements expanded.
The documented semantic model and reusable reporting architecture also provided a stronger foundation for maintaining and extending the solution over time.
Support at Home Statement Production
Following the original Care Management analytics engagement, the client returned to AGER BI with a separate requirement relating to Support at Home statement production.
AGER BI developed a Power BI paginated reporting solution based on the required statement format and supporting operational and payment information.
The work involved analysing underlying data structures and sources, developing and enhancing the supporting data model, building and formatting paginated reports, troubleshooting and refining DAX calculations and integrating required Dynamics and CRM information.
The implementation also required investigation of source data, resolution of data duplication issues, semantic model adjustments and configuration of scheduled refreshes to support the production reporting process.
The project expanded the client’s Power BI capability beyond interactive analytics into structured operational document production.
Ongoing Reporting Support
Following implementation of the statement solution, AGER BI continued supporting the client with production reporting refinements.
This included report remediation, modifications to report behaviour, semantic model refresh scheduling and adjustments arising from operational use of the solution.
The continuing engagement demonstrated the ability of the underlying Power BI architecture to evolve as the client’s reporting and operational requirements developed.
Business Outcomes
The engagement established a governed analytical foundation for the client’s Care Management reporting while extending its Power BI capability into operational statement production.
Key outcomes included:
The solution demonstrates how Microsoft Power BI can be applied beyond conventional dashboards and management analytics.
By combining structured calculation logic, validation and Paginated Reporting, Asset Reports / R24 established an operational reporting workflow capable of transforming complex property and depreciation information into professional client deliverables efficiently and consistently.
Technologies Used
Why AGER BI?
The client required more than the development of individual Power BI dashboards.
Its reporting needed to reflect specialised Care Management business rules, integrate with Dynamics 365 and Dataverse and provide consistent calculations across multiple reporting use cases.
AGER BI designed the solution around a reusable semantic model rather than a collection of disconnected reports. This centralised the client’s analytical logic and created a governed foundation capable of supporting both operational reporting and future self-service analytics.
The subsequent Support at Home statement engagement demonstrated the flexibility of this approach. AGER BI extended the client’s Power BI capability from interactive operational analytics into production-grade paginated reporting while continuing to enhance the underlying data and semantic modelling capability.
The engagement demonstrates AGER BI’s ability to support aged care providers across the Power BI lifecycle, from data modelling and reporting architecture through to operational analytics, paginated reporting, enhancement and production support.
