Asset Reports is an Australian property inspection and quantity surveying business providing specialist property reporting services across residential, commercial and strata property.

Its Quantity Surveying and Matterport teams subsequently rebranded as R24, continuing to provide specialist property reporting services including Tax Depreciation and Capital Allowance Schedules.

Tax depreciation reporting is a complex operational process involving detailed property information, asset classifications, specialist depreciation calculations, long-term schedules and supporting taxation information.

Reports need to account for different depreciation methodologies and asset categories while ultimately producing a professional document suitable for property investors, accountants and advisers.

Asset Reports engaged AGER BI to modernise this process using Microsoft Power BI, creating an operational reporting solution capable of supporting complex calculations, data validation and professional multi-page client report generation.

The Challenge

Asset Reports’ Tax Depreciation and Capital Allowance Schedules contain substantially more complexity than a conventional business intelligence report.

Each client schedule needs to combine detailed property and asset information with specialist quantity surveying calculations and present the results within a structured professional document.

The existing workflow involved spreadsheet data and PDF reporting processes, creating a need for a more efficient and repeatable approach to producing client schedules.

The solution needed to support Division 40 Plant and Equipment, Division 43 Capital Works, Diminishing Value and Prime Cost methodologies, low-cost and low-value assets, asset effective lives and long-term depreciation schedules.

Reporting Process and Requirements Discovery

AGER BI began by working with Asset Reports’ management and quantity surveying team to understand how Tax Depreciation and Capital Allowance Schedules were produced.

The discovery process reviewed existing spreadsheets, PDF reports, depreciation calculations, terminology and presentation requirements.

Existing Diminishing Value Method, Prime Cost Method and Low Value Pool reporting was assessed to determine how the underlying business logic could be represented within Microsoft Power BI.

This stage was particularly important because the solution needed to reflect specialist quantity surveying requirements rather than conventional management reporting.

AGER BI translated the existing process into a structured reporting approach, establishing the foundation for the data model, calculation logic, validation processes and final Paginated Report.

Depreciation Data and Business Logic

A core component of the engagement was implementing the specialist logic required to produce Asset Reports’ depreciation schedules.

The reporting solution needed to distinguish between different classes of depreciable property and support Division 40 Plant and Equipment, Division 43 Capital Works, capital improvements, low-cost assets and low-value pooled assets.

The solution incorporated asset effective lives and supported both Diminishing Value and Prime Cost calculation methodologies, including annual depreciation calculations and long-term depreciation schedules.

AGER BI also needed to ensure asset-level information aggregated correctly within the final reports while accounting for source-data structures, blank values, rounding and other factors capable of affecting calculated totals.

The calculation logic was progressively refined through testing with real property examples, with AGER BI investigating and resolving calculation and aggregation issues identified during user testing.

This iterative approach helped ensure that Power BI outputs aligned with the operational data and specialist calculations used by the quantity surveying team.

Power BI Paginated Report Automation

Conventional Power BI dashboards are primarily designed for interactive analysis. Asset Reports required something different, a detailed, professionally formatted client document containing calculations, explanatory information, schedules and supporting content across many pages.

AGER BI used Power BI Paginated Reports to meet this requirement.

The solution generated structured Tax Depreciation and Capital Allowance Schedules incorporating property information, depreciation method comparisons, Diminishing Value and Prime Cost summaries and worksheets, asset-level depreciation information, Division 40 and Division 43 schedules, relevant taxation information, explanatory content, glossary information and appropriate disclaimers.

The Paginated Reporting solution transformed structured Power BI data into a professional document suitable for PDF distribution to Asset Reports’ clients.

Following implementation, operational feedback from the Asset Reports team confirmed that generating a report took approximately one minute, providing a significant practical improvement to the day-to-day reporting process.

Data Validation and Quality Control

AGER BI developed a dedicated Power BI Validation Report to support quality assurance before client schedules were generated.

This provided Asset Reports with an additional layer of control over the reporting process, allowing users to refresh source information, review underlying data and identify potential anomalies before generating the final client-facing Paginated Report.

The Data Quality Check capability was progressively refined based on feedback from the Asset Reports team, helping establish a more controlled and repeatable reporting process.

AGER BI also worked directly with users to demonstrate how to refresh and use the Validation Report, incorporating the validation process into the broader operational workflow.

This capability was particularly important because the final reports incorporated complex financial and taxation calculations where source-data quality and calculation accuracy were critical.

Development and Knowledge Transfer

AGER BI worked collaboratively with Asset Reports throughout the implementation, progressively refining the solution based on feedback from the people responsible for producing and reviewing the reports.

Multiple iterations were developed as calculations, report formats, validation logic and operational processes were tested and refined.

Feedback from regular users was incorporated throughout development, helping ensure the final solution reflected the practical requirements of the quantity surveying team rather than simply the initial technical specification.

AGER BI also provided Power BI mentorship and practical knowledge transfer covering data refreshes, validation, report compilation, output testing, troubleshooting and the investigation of unexpected calculation results.

This provided the internal team with both the reporting solution and the knowledge required to operate it as part of its normal reporting workflow.

Ongoing Support and Transition to R24

The engagement continued beyond the initial development phase as the reporting solution became embedded within Asset Reports’ operational processes.

AGER BI provided ongoing technical support, investigating calculation issues, data-processing problems and report-generation concerns identified during production use.

This included identifying and resolving data issues affecting Diminishing Value totals, correcting processing errors and publishing updated versions of the reporting solution where required.

The Quantity Surveying and Matterport operations subsequently transitioned from the Asset Reports brand to R24.

AGER BI continued supporting the Power BI environment through this transition, including assistance with Power BI access, licensing, report presentation and ongoing operational issues.

This provided continuity for a reporting solution that had become part of the organisation’s day-to-day tax depreciation reporting process.
